AI for hairdressers and beauty salons: bookings and fewer schedule gaps

AI for hair and beauty salons: manage bookings, processing times and cancellations, with safeguards for colour records and allergy data.

AI for hairdressers: location of a salon with color bowl, appointment calendar and WhatsApp messages managed by an assistant

The AI for hairdressers and beauticians serves one very concrete thing: answer and book while you have your hands in color or you are in the cabin with a customer. An assistant on WhatsApp, Instagram or phone knows the price list, the true durations of the services and the schedule of each operator, proposes free schedules, sends reminders and fills the holes left by the cancellations.

It only works if you understand how a salon works. A color has a laying time where the same person can make a cut to another customer, a discoloration can occupy an afternoon, a waxing depends on the free cabin, a treatment with appliances depends on who is enabled to use them. Then there is the data sheet: color formulas, past reactions, consent. A system that ignores these details fills the agenda with impossible joints.

In summary

  • An AI assistant for a salon book from WhatsApp, Instagram and phone, send reminders and propose schedules freed from cancellations.
  • To book well you must distinguish working time from laying time, and know which cabins, appliances and operators are needed for each service.
  • Law 174/2005 allows hair salons, in addition to hair and beard, only simple manicures and aesthetic pedicures: the assistant's price list must comply with it.
  • Reactions to dyes and treatments noted in the customer card are health-related data and require specific caution.
  • Reminders are service messages, promotions on WhatsApp require customer consent.

Laying times, cabins and appliances: the agenda that the assistant must understand

A generic calendar reasons in blocks: service, duration, end. In a salon the same hour contains different works. While the color is posing, the one who applied it makes a man cut, and when the customer returns to the washroom he serves the same person again. If the assistant doesn't know this facility, either block the operator throughout the service and make you miss appointments, or overlap two active jobs and make you run all day.

In beauty centers the constraint is another: the cabins and the appliances. The Law 1/1990 defines beautician activity as the set of treatments on the surface of the body to keep it in perfect condition and improve its appearance, with manual techniques, cosmetic products and electromechanical appliances listed by law, and excludes performance for therapeutic purposes. Characteristics and caution of use of those appliances are fixed by an implementing decree, updated by the Ministerial Decree 206/2015. The technical sheets attached to the decree start from a premise: devices are used on people who consent and are informed about procedures, expected results, contraindications and risks; when assessing medical conditions the client does not know about with certainty, their trusted doctor must be involved. For scheduling, this means two things: a device-based treatment is booked only when the room, the device and an operator who knows how to use it are available together; and the information notice written by the beautician must be sent beforehand, not read hastily in the treatment room.

Then there is the boundary between the two professions. The Law 174/2005 on the activity of hairstyle allows salons, in addition to services on hair and beard, only simple performance of manicure and aesthetic pedicure; hairstyle and aesthetics can coexist in the same venue, but serve the requirements of both. The price list you load into the assistant must reflect what your salon can offer, because the system will book everything it finds written.

Service What the assistant needs to know to book it After the appointment
Cutting man and beard Duration and preferred operator Recall when your usual interval has passed
Root colour or retouching Separate working time and laying time, formula on card Retouching reminder, if the customer asked for it
Discoloration, lightening, color corrections Photo of desired result and hair history; provisional time Confirm after your assessment
Waxing and face treatments Cabin free and duration No automatic recall if not required
Treatments with appliances (e.g. at-massage or electrostimulation) Cabin, appliance and operator available together; information sent before Next cycle appointment, if expected
Manicure in a hair salon Only simple performance, as provided by law 174/2005 None

Bookings from Instagram and WhatsApp while your hands are busy

Most of the requests come at the worst times: a direct message on Instagram with a photo of a blonde seen online, a voice on WhatsApp while you're making a fold, a phone call you can't answer. The assistant works on these channels with the same rules: he responds immediately, collects the information he needs and proposes real hours.

The photo of ash-blonde hair is the most instructive case. It can mean an hour or a whole afternoon, depending on what is already on the hair. A good assistant does not promise a result or choose a random time slot: it asks about home colouring, henna or recent bleaching, collects a photo taken in natural light and proposes a provisional slot that you confirm after seeing it. Similarly, someone asking "how much does balayage cost?" receives a price range you have written and an invitation to a trial, not an invented figure.

For the WhatsApp channel you need a Business number, approved message templates for reminders and a clear pass to a person. Find the technical part in the guide to WhatsApp chatbots for businesses and in that on WhatsApp template to get approved. And if the salon still receives many phone calls, it is worth comparing voice and chat before choosing where to start.

The assistant must also say who he is. The Article 50 of the AI Act demands that AI systems that interact with people be designed so that they know they are talking to an AI, except when it is obvious. One line in the first message is enough, along with the ability to ask to talk to someone about the salon.

Agenda blanks and holes: what automation recovers

The holes in the agenda have three origins: the customer who forgets, the one who cancels at the last and the one who would like to come but finds everything full.

For the first one just a reminder the day before with two possible answers, confirm or move. The mover immediately receives free hours, so the cancellation becomes a date change instead of a hole. For the second one you need a real waiting list: when you free a seat, the assistant writes to customers who had asked that day or that service, in the order you decide, and the first one who confirms takes the slot. For the third counts the response speed out of hours, when there is no one in the salon.

An example to understand the order of magnitude: if a free fold fills twice a week thanks to the waiting list, at the end of the month you have recovered eight appointments that were previously empty. It's an account to do with your numbers, not a promise. On long services, such as a color correction, you can evaluate a down payment: in that case the conditions must be written before booking, clearly, and it is best to have them reviewed by your consultant.

Shift management also changes: if you know in advance which days are empty, you can move holidays and rest. A few more ideas are in the article on AI for staff shifts.

Customer data sheet: colour formulas, reactions and consent

The card is the heritage of the salon. It contains the formula of the color, the laying times, the product used, the preferences on the cut and, sometimes, the reactions had in the past. The assistant uses it to book better and for calls, such as retouching the roots; you use it to work without starting over every time.

Tinctures are cosmetic products regulated by Regulation (EC) 1223/2009, as recalled by Ministry of Health page on hair dyes. The Ministry also explains that most reactions to cosmetics are irritative or allergic contact dermatitis, and that the reporting of undesirable effects by operators in the sector, including hairdressers and beauticians, is important for market surveillance. To report you need to know what you used: product and batch should be written in the tab the same day.

An annotated reaction on the card is, however, a Health Data, which the GDPR defines as information about a person's physical or mental health and which Article 9 treats as a particular category. For a salon the most linear road is the explicit consent of the customer, collected separately and for that precise purpose. Check the details with your privacy advisor.

  • Color formula, oxidizer, laying time and product with batch, written on the same day
  • Past reactions noted only with the explicit consent of the customer
  • Card visible to those who work on the customer, not to all staff
  • No health information in automatic messages or previews
  • Marketing consent separate from that for the card
  • A person always decides after an annoyance or reaction report
If a message arrives about a reaction One client writes that after the color burns her skin. The assistant does not recommend creams or remedies: he immediately passes the conversation to the owner and, if the symptoms are important, he invites to see a doctor. The rest is handled by a person, card in hand.

A barber with two armchairs and an aesthetic center with three cabins

The barber shop. An example: two armchairs, a holder and a collaborator, customers who book almost only from Instagram and WhatsApp. The problem is the phone that vibrates during each cut. The assistant responds to messages with everyone's free hours, respects their favorite barber, sends the reminder the night before and, when someone cancels, writes to those on the waiting list. The holder looks at the agenda between one customer and another instead of responding to twenty messages.

The beauty center. Three cabins, one press-massage unit, two beauticians. Here the joints depend on the resources: the treatment with the appliance is booked only when the cabin and operator are free together, the information starts with confirmation, the sessions packages generate the appointment after the end of each session, and the cards with past reactions remain visible only to those who work in the cabin. The calls to customers They only leave for those who have asked to receive them.

The wrong joints that a salon pays on the agenda

  • Book a long technical job as if it were a crease. Without pictures and hair history, the time is a guessing shot.
  • Offer services that the salon cannot do. If the loaded price list contains aesthetic treatments and there are no requirements in the salon, the assistant books them the same.
  • Respond on the merits of a reaction. The advice of a bot about an itch or irritation is the quickest way to make an annoyance a problem.
  • Promotions to the whole column. Without consent, a promotional message on WhatsApp goes against the Article 130 of the Privacy Code, which covers SMS, emails and "other" messages.
  • Too many automations together. Reminder, waiting list, calls, reviews and promotions lit on the same day produce double messages and confused customers: typical mistakes you find them in WhatsApp automation: errors paid in the field.

The first step in the salon: the price list with the real durations

Before any instrument, write the price list as the salon lives it: for each service the working time, the laying time, the necessary cabin or apparatus and who can do it. It is an afternoon's work and is worth more than any configuration, because the assistant will book exactly what he finds written. Then link the agenda, activate only the reminder with confirmation or move and measure for a month how many appointments are moved instead of jumping.

When the agenda holds up, add the waiting list and, lastly, the calls. If you want to see how an assistant responds on WhatsApp before deciding, try the WhatsApp chatbot demo and then Tell us how your agenda works today: we start from the price list, not from the software.

FAQ

Can the assistant book a bleaching treatment as if it were a blow-dry?

It should not. For lengthy technical services, the assistant collects photos of the desired result and the hair’s history, such as home colouring, henna, or recent lightening, then suggests a provisional appointment time for you to confirm. The person who knows the hair estimates the actual duration.

Can I record customers’ allergies in an AI-managed record?

Yes, but they are data related to health: the GDPR puts them among the special categories. For a salon the most straightforward route is the explicit consent of the customer, collected separately, with access to the record limited to those who work on the customer. That information must never appear in automatic messages.

What do I do if a customer writes to me that they had a reaction after the color?

The conversation goes immediately to the owner, and the assistant does not suggest creams or remedies. Record the product and batch used in the customer’s record. The Ministry of Health notes that hairdressers and beauticians can also report adverse effects of cosmetics, and that reporting helps market surveillance.

Can a hair salon put aesthetic treatments on the agenda?

Law 174/2005 allows hairdressing businesses to offer only basic manicures and cosmetic pedicures in addition to hair and beard services. The two activities can coexist at the same premises if the requirements for both are met. The price list you give the assistant must reflect what your salon can provide.

Can I send the month's promotions on WhatsApp to all customers?

No, only to those who have given consent: Article 130 of the Privacy Code requires it for commercial communications via SMS, emails and other messages. The appointment reminders, on the other hand, are service messages related to the reservation.

Do customers need to know that an AI assistant is responding?

Yes. Article 50 of the AI Act calls for systems that communicate with people to be designed to make it clear, except when it is obvious. In practice, a clear line in the first message and the possibility of asking to talk to someone from the salon is enough.
