The Context and Challenge

Rial Rent is a luxury mobility concierge operating across Europe. It is more than a car-rental business: the service delivers supercars such as Ferrari, Lamborghini, Porsche, McLaren and Bentley, as well as yachts, directly to wherever the client is. Milan, Como, Portofino, Costa Smeralda, the French Riviera, Monaco and Ibiza. Its clientele is international, often from outside Italy, and in many cases speaks Arabic, French or English before Italian.

When we began working together, Rial Rent already had a website and an established business. The problem was not service quality, which was, and remains, exceptionally high. The problem had two sides. One was visibility: the website was effectively invisible to people searching for supercar or yacht rentals without already knowing the brand, and it did not serve any of the foreign markets supplying a large share of its clients. The other was behind the scenes: quotes, contracts, vehicle and yacht management, documents and deadlines all relied on spreadsheets, folders and people’s memory.

A business renting out assets worth hundreds of thousands of euros each day cannot afford incorrect contract data or an unnoticed insurance deadline. The challenge was therefore not aesthetic. It was to make Rial Rent discoverable where clients actually search, while taking repetitive administrative work off the team’s shoulders so they could spend that time on what matters: the client.

The goals we set ourselves

We defined a few clear goals with Rial Rent, without inflated promises. First, make the website genuinely visible on traditional search engines, reaching not only people entering the exact brand name, but those looking for an experience, a supercar at a destination or a yacht for a weekend. Second, be found by generative engines too: the conversational assistants increasingly used to plan travel and luxury holidays.

The third goal was to speak the clients’ languages. When an Arabic- or French-speaking client looks for information, they should find it in their own language, rather than partly translated. The fourth, equally important goal was to build an organised back office. One place to manage cars and yachts, automatically generate correct documents and track deadlines and inventory, without depending on scattered spreadsheets or who remembers what.

The basic idea was simple and we always repeat it to our customers: technology must give people time back, not add complexity. Every choice of this project has been measured on this. If a function didn't take away work or bring customers, we didn't build it.

Our approach

We approached Rial Rent on two parallel tracks because its two challenges were distinct but connected. A website discoverable in six languages achieves little if handling requests is chaotic. A well-designed business system achieves little without enquiries. Visibility and operations developed together.

We used Giallo's usual method: understand how the business actually works, then automate the right steps. The team showed us how quotes were created, contracts completed, vehicle documents stored and traffic fines handled. Only after seeing the real process did we decide which tasks to assign to AI and which to keep with people.

We built the business management software Rial Rent needed for its own workflows, avoiding an oversized system full of unused features or a generic model borrowed from another industry. That is the difference between custom software and subscribing to a tool designed for someone else.

Fleet OS: business management software built with AI

At the operational heart of the project is Fleet OS, the custom business management software we developed for Rial Rent. Car and yacht fleets share a single interface, although businesses usually manage them with separate tools or even on paper. Here, instead, an operator sees everything in one place.

Fleet OS generates consistent, professional PDF quotes ready to send, without manual layout each time. Rental contracts are automatically filled with client and vehicle data, with electronic signing integrated into the workflow: generate, sign and archive without printing, scanning or chasing people.

There is also tyre inventory management, a detail people outside the sector underestimate but which is a practical concern for a supercar fleet: seasonal sets, vehicle assignments and deadlines. Fleet OS tracks which tyres are fitted, which are in stock and when they need changing, so the team does not discover a missing set at the last minute.

AI here is not a decorative accessory. It is the tool we used to build and speed up the business management software itself, and above all it powers the project’s two most important features: automatic document reading and automatic traffic fine management. Those two features have truly changed the working day of Rial Rent’s team.

The automatic reading of documents

Every vehicle in a luxury fleet comes with a stack of documents: vehicle registration, insurance and road tax. Entering those details manually into each car’s record is slow and, worse, a single incorrect number can create a problem months later, perhaps in a contract.

We gave Fleet OS the ability to read these documents using AI. The operator uploads the vehicle registration document, insurance policy or road tax document, and the system extracts the relevant data and fills in the vehicle record itself. There is no manual data entry, field by field. The person checks and confirms, but no longer needs to transcribe. This reduces errors, because the data is read from its source rather than copied, and saves time: what previously took minutes of typing becomes an upload and a check.

This is a perfect example of how we understand AI at Giallo: a tool that takes tedious, risky work away from people while leaving them in control of decisions, rather than a robot replacing them. Rial Rent’s team remains in charge of the process, but no longer wastes hours re-entering number plates and expiry dates.

The automatic management of fines

Vehicle rentals create a recurring administrative problem: fines. When a notice arrives, the team must identify who had the vehicle at that exact time and correctly notify the client. Doing this manually is time-consuming, unpleasant and prone to errors.

We automated this too. Fleet OS uses AI to read the fine notice, checks its date and time against rental history, and identifies the client who had the vehicle then. It then generates ready-to-send text for email or WhatsApp, directing the fine to the right person. The operator no longer investigates manually or writes the message from scratch: they review it, adapt it if needed and send it.

It is a function that alone does not make news, but that in daily practice eliminates one of the most hated tasks of the back-office and reduces the risk of attributing a fine to the wrong person. It is exactly the concrete and no-frills automations we prefer to build: they solve a real and repetitive annoyance.

SEO, GEO and the Six Languages

For visibility, we worked extensively on both technical and content SEO. We configured Google Search Console from scratch, because a company needs to see how people find it and through which searches. We adjusted the site structure and content so Rial Rent could appear not only to people searching for the brand, but to those seeking an experience: a supercar in a particular destination, a yacht for a particular occasion.

We then addressed what is a new frontier today, and one we follow closely at Giallo: GEO, or Generative Engine Optimization. More and more people planning luxury travel ask a conversational assistant instead of opening a traditional search engine. We structured Rial Rent’s content so it can also be understood and cited by those generative engines. That way, when someone asks an assistant how to rent a supercar on the French Riviera or a yacht in Portofino, Rial Rent has the foundations to be one of the answers.

We translated the site into six languages: Italian, English, French, Spanish, German and Arabic. This was more than an automatic translation pasted onto the site: each version serves a market Rial Rent’s clients come from. People searching in their own language find a site that speaks their language, changing the confidence with which they decide to message or call.

The result

At the end of this job Rial Rent has two things he didn't have before. It has a European market presence on both traditional and generative search engines, in six languages, built to intercept international customers where they actually search. And it has an almost entirely automated back-office, with Fleet OS handling cars and yachts, quotes, signed contracts, tires, documents and fines from a single interface.

The practical benefit has three parts. Fewer errors, because data is read from its source and documents fill themselves in instead of being copied manually. Less administrative time, because repetitive, tedious tasks previously occupying the team are automated. And, as a direct consequence, more time for clients — which, in a luxury concierge service, is literally the product.

We don't promise inflated numbers or invented percentages, because that's not our style. We tell what we've built and what it's for. The value of this project is not a showcase metric, it is the fact that every morning the team of Rial Rent opens a single tool instead of ten sheets, and every night spent more time looking after customers and less chasing bureaucracy.

Why This Project Matters

Rial Rent tells you what we do in Giallo Studio and how we understand it. We don't sell AI as a magic word or automation for its own sake. We start with the way a company really works, identify where time is lost or mistakes are made, and tailor the tools that solve those precise points.

In this case, two worlds often sold separately — the website and business management software — were treated as one. Visibility brings enquiries; the business software turns them into organised, smooth rentals. SEO and GEO open the door, while Fleet OS ensures an organised, responsive business is behind it. Either one without the other would have been half the job.

This project also shows how we use AI: as a practical tool, rather than a slogan. Reading a vehicle registration document, working out who should receive a fine, filling in a contract: these are unglamorous tasks, but they are precisely the ones that consume businesses’ time every day. Automating them well is worth more than a thousand impressive features nobody uses. For Rial Rent, a business built on excellent service and demanding clients, saving time and removing errors is more than a technical detail: it is how technology quietly becomes a competitive advantage.
