AI for gyms and sports centres: class bookings, medical certificates and memberships

The AI for Gyms works well where someone currently stands at reception with a phone in hand: arranging a free trial, a class at 19:00 that is already full, a cancellation received an hour beforehand, a subscription renewal, or a medical certificate expiring next week. These are repetitive requests, and the answers already exist in the business management software: class schedules, room capacity and deadlines. An AI assistant that reads that software can resolve the requests itself or prepare them for staff.

Before automating, however, you need to know what kind of sports center you are. A commercial gymnasium and amateur sports association have different rules about medical certificates, contracts and instructors, and a written flow for one errs with the other. Here you find the main rules, the sources from which they come and the points where AI has to stop.

Free trial, full course, last-minute cancellation: the reception phone

The day of a reception is full of requests that always have the same answer: timetables of the courses, cost of the quarterly subscription, if you need to bring the towel, if there is room at the pilates on Thursday. An AI assistant on WhatsApp, on the site or in the center app answers these questions by reading the calendar and the list, and fixes the test lesson in the free seats. From August 2, 2026 the member who writes in chat should be warned that on the other side there is an artificial intelligence; the other fulfillments are in obligations of the AI Act for small businesses.

The most useful work is on capacity. When a course is full, the assistant puts on the waiting list who asks for it; when someone cancels, he offers the place to the first on the list and, if he does not confirm within the time you have chosen, moves on to the next. The late cancellation rule is up to you and the assistant always applies it the same way, with no arguments at the counter. The principle is the Automatic appointments with AI, with one difference: here the place is not a free time but a bike, a mat, a lane.

Renewals follow the same pattern. A few days before the deadline the subscriber receives the reminder with the available formulas and the link to renew; those who do not renew enter a list for a staff phone call. Channel and message templates are explained in Automation WhatsApp Business.

Commercial gym or ASD: understand which one you are before automating membership

The sport reform has put in writing how an amateur body stands out. Amateur sports associations and clubs are recognized for sporting purposes by federations, associated disciplines and sports promotion bodies, and the amateur nature of the activity is certified with the registration in the National Register of Amateur Sports Activities, held by the Department for Sport (D.Lgs. 36/2021, art. 10). A gym run by a commercial company, without that recognition, sells subscriptions to customers; an ASD membership card. For automation are two different streams.

The difference on the certificate comes from two texts. Decree-Law 69/2013 abolished the certification requirement for recreational-motor and amateur activity (Art. 42-bis). The guidelines on certificates approved by the Ministry of Health with the Decree of 8 August 2014 define as non-competitive, among others, activities organised by CONI and sports clubs affiliated with federations, associated disciplines or sports promotion bodies and practised by people who are not competitive athletes. If your ASD organises courses for its members, those members fall into this category; for special cases, such as competitive athletes, ask your federation or organisation.

Non-competitive sports medical certificate: the system tracks expiry, the doctor carries out the examination

The non-competitive certificate has annual validity with effect from the date of issue, and it is issued by the general practitioner or pediatrician for their patients, the specialist in sports medicine or the doctors of the Italian Sports Medical Federation (decree of 8 August 2014 and art. 42-bis, paragraph 2, of Decree-Law 69/2013). For a secretariat that follows hundreds of members it is a calendar of deadlines that is renewed every day of the year, perfect for an automation.

1. The cardholder loads the certificate from the app or link you received when you signed up, not in a chat.
2. Assistant reads release date and the type of certificate, calculates the deadline and proposes it to those in the secretariat to confirm it.
3. Management software records only what is needed: certificate type, expiration date, who verified it. The file remains in a restricted access archive.
4. One month before the deadline starts the reminder, with a second warning close to the date.
5. On expiry, the institution rule applies, for example the suspension of bookings to courses until the new certificate arrives, and the secretariat sees the list of open cases.

A certificate of fitness reveals information about a person's health, and health-related data is a particular category for the Art. 9 of the GDPR. That's why the file doesn't run on WhatsApp, it doesn't end up in the prompts of a generic chatbot and it only sees who has to verify it. Subscription signed at reception, online or at the stand: the withdrawal changes

The Consumer Code recognizes the withdrawal when the subscription is born at a distance or outside the gym, not when the customer signs at the counter (Art. 52). Today, however, registrations come from different channels, and each one carries different rules. The assistant and management software must record where each contract comes from.

On the subscription signed at the venue remains a practical advice more than legal: if in the contract you have rules on suspensions for injury, renewal or cancellation, the assistant must quote her word for word. A response that simplifies them creates expectations that then the reception must disprove.

Turnstile facial recognition: what the Guarantor has already decided

Among the proposals that come to the managers are entrances with face or fingerprint recognition, sometimes presented as an AI function of the access software. They are biometric data: for the GDPR, data obtained from a specific technical treatment that allows the unique identification of a person, such as the facial image, and use them to recognize who enters is only possible in the cases allowed by Article 9, such as explicit consent.

The Privacy Guarantor has already addressed the case of a sports center. In measure of 29 March 2012 banned an amateur sports association from further processing customers' fingerprints for access to facilities, because it was disproportionate to the need to control entrances and manage subscriptions, and because it was not shown that alternative measures, such as badges, could not be used. The decision predates the GDPR, but the reasoning on necessity and proportionality still holds true: the badge or QR code on the phone remains the way to go.

Instructors and personal trainers: shifts, compensation and training cards

Sport reform has also changed the way we frame those who teach. In the version applicable from 14 May 2025, Article 25 of Legislative Decree 36/2021 defines sports worker, among others, the instructor who exercises the sport activity towards a fee in favor of an entity registered in the National Register, and excludes its administrative-management duties (Art. 25). In the business management software, instructors and administrative staff are therefore two groups with different rules: an automation for shifts or pay must keep them separate, and your employment adviser sets the rules. For personal trainers the day-to-day work is made of cards and progress. A limit applies to everyone: if a member writes about a pain, injury or pathology, the assistant does not suggest exercises or reassurance. Pass the message to the trainer or staff, who assesses whether to refer the person to the doctor.

Where to Start in Your Gym

Think of a neighborhood gym with weight room, two course rooms and only one person at the reception in the afternoon. In such a case it is better to start from the booking to the courses with the waiting list, where the phone calls are concentrated, and then move on to the renewals. Instead, think of an ASD that organizes swimming courses for hundreds of members: there the first flow is the calendar of certificates. Every week the secretariat sees who expires in the month, who has already uploaded the new certificate and who is suspended from reservations, because every missed deadline is a member who trains without a valid certificate.

Typical mistakes are similar: an assistant who promises a different policy of cancellation from the contract, certificates that run in chat, an access system chosen for the demo and not for proportionality, a chatbot that answers a question about a pain.
