Automated payment reminders with AI

Payment reminders are the task nobody wants to do. Delaying them costs cash flow; handling them badly costs customers.

The problem,
how it presents itself
I do.

In SMEs, debt collection almost always stops on the same human obstacle: sending the reminder is unpleasant, so it is postponed. Weeks pass, the bill gets older and when you finally write the tone is harder than necessary because in the meantime the annoyance has grown.

Smart payment reminders remove hesitation from the process: messages go out when due, with a tone matched to the customer and their payment history. A long-standing customer who normally pays in thirty days and is three days late needs a different message from someone ninety days overdue. Beyond a set threshold, the system stops and flags the need for a phone call: some matters require a conversation.

How it works, step by step

01

Monitor deadlines

He reads the schedule and identifies open positions without anyone having to check them by hand.

02

Calibrate the tone

Adapt the message according to the customer's history and the extent of the delay.

03

Send and Track

Send the reminder and record the answers, so the status of each location is always readable.

04

Human scaling

Beyond a certain threshold it interrupts automation: important relationships are handled in person.

Who it is for

  • SMEs with many open invoices and none dedicated to recovery
  • Professional studies with recurring fees
  • Companies with liquidity problems due to slow receipts, not low turnover

Frequently asked questions

Risk of angering customers?

It is the main risk, and that is why the tone must be calibrated and that above a certain threshold the system must stop. An automatic prompt sent to a historical client with the same tone used for a moroso does more damage than the delay he wanted to solve.

Does it link to electronic billing?

Yes, in most cases it connects to your existing business management software or invoicing service and reads its schedule of due payments.

Does it replace legal debt collection?

No, and it doesn't try. It covers the range of physiological delays, the one where a timely reminder is enough. Really problematic positions remain a legal issue.
